Pre-shipment inspection: when to inspect, what to check and how
When to use pre-production, during-production and pre-shipment inspection, an inspection checklist and AQL sampling, and how to arrange a third-party inspection.
About 2 min readContent checked on
The most common time is a pre-shipment inspection once bulk production is at least 80% complete and partly packed. Following AQL sampling, check quantity, appearance, dimensions, function and packaging against the sealed approved sample. For high-value goods or a first order, a third-party inspection company is recommended.

Three inspection stages
| Stage | What is checked | Best for |
|---|---|---|
| Pre-production inspection | Raw materials, components, first article | Custom products, first orders |
| During-production inspection | Production progress and early quality issues | Large orders, tight deadlines |
| Pre-shipment inspection | Finished quantity, appearance, function, packaging | Almost every order |
Inspection checklist
- Quantity: total cartons and pieces per carton match the packing list.
- Appearance: scratches, colour differences, stains, workmanship.
- Dimensions and specs: compare with the approved sample and the spec sheet.
- Function: power-on test for electrical goods, zips open and close, all parts present.
- Packaging and labels: carton shipping marks, product labels, manual language, barcodes.
- Destination-country requirements: certification marks, country-of-origin marking, voltage and plugs.
What AQL sampling is
AQL (Acceptable Quality Limit) sets the sample size according to the lot size, then decides whether the whole lot passes based on the number of defects found. General Inspection Level II is the usual choice: critical defects are not accepted, and major and minor defects each have an acceptance number. The exact figures should be agreed in the contract.
Write the inspection standard and how non-conforming goods are handled (rework, replacement, deduction) into the purchase contract so the inspection report is binding.
